Meeting Makeover: Turn a Monday Moan Fest Into a Power Session

One of my clients was bemoaning his weekly check-in meeting (otherwise known as a “huddle”). Necessary, but not when updates drag on forever, half the team is mentally checked out, and by the end, no one’s quite sure what got accomplished. What should be a valuable touchpoint becomes a drain on energy and time.

It doesn’t have to be that way. With a few intentional shifts, a ho-hum meeting can become a high-impact ritual your team actually looks forward to.

Here’s a “before and after” look at his team’s transformation from dreaded meeting to dynamic power session.

The Before: The Monday Moan-Fest

Every Monday at 9 AM, the team would log into Zoom, coffee in hand. The published agenda? Nonexistent. Each person gave a status update that sounded more like a laundry list of tasks than something strategic.

There were no clear next steps, no engagement, and definitely no energy. The meeting often ran over, veered off-track, and left people wondering, “Why are we doing this… again?”

The Turning Point

It started with my client, the team leader, asking the question:  “What if we designed this meeting to energize, not exhaust?”

Together, they reimagined their check-in with three core goals in mind:

  • Clarify priorities for the week
  • Connect the team and build momentum
  • Identify and remove roadblocks—fast

The After: The Monday Power Session

Fast forward a few weeks, and here’s what their new weekly ritual looks like:

  1. Set the Tone (2 minutes).  The meeting kicks off with a quick question and an even quicker win: “What’s one thing you’re proud of from last week?”  This simple shift sparks positivity, gets voices in the room early, and helps the team start on a high note.
  2. Laser-Focused Round-Robin (5-10 minutes).  Each team member shares 1) what they’re focused on this week and 2) shares any help or support they might need.  Status updates are brief and relevant. No rambling. No rabbit holes.
  3. Spotlight the Stuck (5 minutes).  If a blocker comes up, it gets noted in a “parking lot” for deeper discussion after the main meeting.  This keeps momentum going without ignoring key issues.
  4. Anchor the Week (3 minutes).  The leader closes with any key themes noticed across the team, followed by any quick announcements, and a final, upbeat call to action (e.g., “Let’s crush client delivery this week!”)

Now, the team’s weekly check-in is a fast-moving, high-energy pulse check that sets the tone for the week ahead. The team is aligned, connected, and clear on where to focus.  More importantly, people are showing up on time, engaged, and even smiling.
